📝 Commission Request Instructions

Before ordering: Please read my Policies and check the top of my page to see if commissions are currently open.

Important: A deadline or time frame is required to place a commission. If you do not provide one, I will not make the item.

To request a custom pair of ears from Vixens Vault, please email the following information to vixxensvault@gmail.com. Please include all requested information in one email. Incomplete requests may not be considered.

📜 Payment & Rush Policy

• A 25% down payment (non-refundable) is required up front, based on the guesstimated total price, not any additional fees that may arise. You have four (4) days from when commissions open to pay the down payment. Example: If commissions open on March 11th, you must pay the down payment by March 14th. Only the first three clients to pay the down payment will have their commissions started; any others will be placed on a waiting list or for future openings.
• I only accept payments via CashApp, Zelle, or Venmo.
• I do not accept full payment up front. Due to my medical diagnosis (ADHD), if I receive the entire payment in advance and spend it, I can lose motivation to finish the commission. This policy is designed to help both the designer and the client, so that my personal challenges do not negatively affect your product. I want to ensure your item is completed with care and respect.
• You will have thirty (30) days from the date of item completion to pay the remaining balance in full. If payment is not received within 30 days, your item will be forfeited and may be listed on my website for others to claim.
• ⚠️ This means you must have funds ready by the time the item is finished, not after.
• Rush / Hourly Premium: If your item is needed in 5 weeks or less, during my busy market season, or if commissions are closed, additional labor will be billed at $45/hr instead of the standard $22.50/hr.
• 📦 Shipping: I will not ship your item until the commission is paid in full and shipping costs are covered.
• Estimated completion time may vary depending on complexity. Rush fees apply if you need it sooner than the normal timeline.

✅ Important Notes:

• All ears are wired with stainless steel boning and can be posable or fixed; they are static on headbands or headphones only — no mechanic movable ears.
• Please note that the guesstimated price is just that, a guesstimate, not a fixed estimate. I work carefully to create your custom item, and any additional labor hours or materials required will be added to the final cost. This ensures that my time and the materials used are fairly covered while delivering the best possible product for you.
• Labor overages are billed at $22.50/hr for standard timelines, or $45/hr if the item is rushed (< 5 weeks), during market season, or while commissions are closed.
• Any changes requested after the commission starts may increase the price or affect the starting guesstimate.
• Optional extras such as shipping upgrades, custom charms, or other additions may also increase the total cost.
• Clients must provide complete and accurate details in their commission request. I am not responsible for errors caused by missing or incorrect information.
• I may reach out for clarification; failure to respond in a timely manner may delay your commission.
• I reserve the right to decline commissions that conflict with my personal values, style, or material limitations.
• Clients will receive progress photos. Approval is required before shipping.
• I am not responsible for damage caused by shipping carriers or normal wear and tear.
