Vixens Vault Shop Policies & Terms of Service

These policies clarify expectations for buyers, protect both parties, and ensure smooth transactions. Please read carefully before ordering or trading.

✨ Payment ✨

  • Payment is due immediately for all orders and comment-to-claim purchases.
  • No personal payment plans.
  • Shop Pay: If available, installment payments allowed through Shop Pay only.
  • Holding an Item:
    • Items can be held up to 2 weeks for an additional 25% upcharge.
    • Upcharge is non-refundable.
    • The item will not be offered to other buyers during this hold.
  • By paying, you agree to all shop policies.

✨ Refund Policy ✨

  • Refunds only considered under extreme circumstances (significant, verifiable defect or failure).
  • Processing Time: Refunds may take 30–45 working days; funds usually return in 3–5 business days.
  • Reason must be specified (e.g., delayed order due to car payment, hospital bill, groceries).
  • Proactive refunds may be issued if an order is unreasonably delayed.

❌ No Returns or Exchanges

All items are final sale once shipped, due to their handmade, customized, or personalized nature.

✨ Swap Option ✨

  • Delayed items may be swapped for available items.
  • Buyer sees photos of available pieces before choosing.
  • Extra cost only if new item is more expensive; shipping already paid remains the same.
  • Swaps are first-come, first-served.

✨ Cancellations ✨

  • Up to 24 hours to cancel unless item is packed or shipped.
  • Ready-to-ship items are packed immediately after payment.
  • Ready-to-ship orders ship the next working day; minor 1–2 day delays possible for packaging supplies.

✨ Shipping & Handling ✨

  • Processing Time: Ready-to-ship: next working day; Custom/Commissioned: per order received.
  • Shipping Methods: USPS only; domestic $12, international calculated individually.
  • Handling & Packaging: Padded and reinforced as needed.
  • Shipping Insurance: Included; contact immediately for lost/damaged packages.
  • International: Buyer responsible for customs/import fees; tracking provided when possible.
  • Unexpected delays (carrier/weather/holidays) may occur; updates provided.

✨ Order Priority & Queues ✨

  • Ready-to-ship prioritized.
  • Commissions/Made-to-Order processed in order received.
  • Optional priority handling available for additional fee.

✨ Communication Expectations ✨

  • Contact via email, website, or approved social media DMs.
  • Response time: within 48 hours.
  • Proactive updates provided for all orders.

✨ Behavior & Community Expectations ✨

  • Respectful interaction is required.
  • Harassment, manipulation, or inappropriate behavior is not tolerated.

✨ Disclaimer / Liability ✨

  • Liability limited for lost, damaged, or delayed shipments beyond insurance.
  • Buyers accept risks for shipping, trade items, and international shipments.

✨ Damage After Delivery ✨

  • Once the item is in your hands, care and upkeep are your responsibility.
  • Normal wear-and-tear, misuse, or accidents are not covered.
  • Repairs may be offered for an additional fee plus shipping costs.

✨ Promotions, Discounts & Coupons ✨

  • Discounts/codes must be applied at checkout; cannot be added retroactively.
  • One code per order unless otherwise stated.
  • Sales, promotions, or codes may end without notice.

✨ Gift Policy ✨

  • Provide correct shipping info for gifts.
  • Not responsible for gifts sent to incorrect addresses.
  • Gift wrapping/notes may be available for an additional fee.

✨ Privacy & Confidentiality ✨

  • Personal information is kept private and secure.
  • Information is never sold or shared with third parties.
  • Harassment, doxxing, or privacy breaches will result in refusal of service.

✨ Event & Market Sales ✨

  • Items purchased at events/markets are final sale.
  • Prices may differ from online listings.
  • Priority goes to in-person customers.

✨ Remake Policy ✨

  • Remakes are allowed only after 1.5 months from USPS delivery date.
  • Buyer must pay 70% of labor cost and 50% of materials to remake an item.
  • This ensures a fair discounted remake for both buyer and shop owner.

✨ Trade Policy for Business Owners ✨

  • Trades are strictly professional and must be agreed upon in writing.
  • Rules:
    • Formal agreement required – documented via email or signed document.
    • Equal value – Trades must be fair; I reserve the right to decline unbalanced trades.
    • No partial trades – vague trades not accepted.
    • Specific timelines – adhere to agreed deadlines; late shipments may void agreement.
    • Simultaneous shipping – physical items shipped together, no IOUs.
    • Full disclosure – all items/services accurately described.
    • No substitutions without prior written consent.
    • Liability – each party responsible for delivery; insurance/tracking recommended.
    • Lost/damaged items – responsible parties agree to remake, replace, or provide suitable substitute.
    • Commission work excluded – only available items can be traded.
    • Professional conduct – harassment/pressure terminates trade.
    • Non-transferable – cannot assign trades without consent.
    • Non-refundable / Final – once completed, no reversal or compensation.
    • Respect & professionalism required.
    • Limited availability – subject to my discretion.
  • Acceptable Trade Items: Tattoos, brand clothing, leather items, chainmail, large fairy wings, renaissance items, nail & hair services.

✨ Terms of Service (T.O.S.) ✨

1. Right to Refuse Service

I reserve the right to refuse service at my discretion. This includes, but is not limited to:

  • Harassment, discrimination, or inappropriate behavior toward me or other customers.
  • Orders that violate shop policies, laws, or ethical standards.
  • Suspicious or fraudulent activity.

Refunds for canceled orders due to these reasons will be issued only if payment has already been made and no items have been shipped.

2. Fraudulent Chargebacks

Attempted chargebacks without communication are considered theft. Consequences include:

  • Permanent blacklisting from Vixens Vault.
  • Legal action if applicable, including civil claims for recovered costs.
  • Sharing of information with other businesses or creators to prevent repeated offenses.

3. Safe Space Policy

Vixens Vault maintains a zero-tolerance policy for:

  • Harassment, bullying, or intimidation in any form.
  • Discrimination or hate speech based on race, gender, sexuality, religion, or ability.
  • Doxxing, sharing personal info, or online stalking.

Violations will result in immediate blacklisting and potential reporting to authorities.

4. Blacklisting Offenses

Buyers may be permanently blacklisted for:

  • Violating any T.O.S rules or shop policies.
  • Reselling items above purchase price without permission.
  • Altering or misrepresenting items purchased from Vixens Vault.
  • Harassment or inappropriate behavior toward me or collaborators.

5. Mutual Respect Rule

All buyers must interact professionally and respectfully. This includes:

  • Polite communication via email, social media, or in-person.
  • Understanding reasonable processing/shipping timelines.
  • Following agreed-upon trade or commission rules.

Violation may result in order cancellation and blacklisting.

6. Reselling Policy

  • Resale of items above original purchase price is prohibited unless prior written approval is obtained.
  • Items purchased with a speed fee may not include the speed fee in resale; only base item price allowed.
  • All resold items must clearly credit Vixens Vault.

7. Trade & Promotional Partnerships

Trades and promotions are strictly professional. Guidelines:

  • All trades must be agreed upon in writing with clear deadlines and item descriptions.
  • Promotional partnerships are by invitation only; no unsolicited requests.
  • Trades or collaborations that violate shop policies are automatically void.
