Vixens Vault Shop Policies – Buyer Guide

These policies clarify expectations for buyers, protect both parties, and ensure smooth transactions. Please read carefully before ordering or trading.

✨ Payment ✨

  • Payment is due immediately for all orders and comment-to-claim purchases.
  • No personal payment plans for any reason. Personal plans create inconsistencies with financial obligations.
  • Shop Pay: If the website is open, you can use Shop Pay for installment payments through the platform only.
  • Holding an Item:
    • Vixens Vault can hold the item you want for up to 2 weeks for an additional upcharge of 25% of the original price.
    • The upcharge is non-refundable.
    • The item will not be offered to other buyers during this hold.
  • By paying, you agree to all shop policies.

✨ Refund Policy ✨

  • Vixens Vault will refund only under certain circumstances, whether due to shop delays, overbooking, or personal reasons.
  • Processing Time: Requested refunds may take 30–45 working days.
  • Once processed, funds usually take 3–5 business days to return to your original payment method.
  • Communication: You will always receive an email confirmation and updates if a refund is issued.
  • Reason for Refunds Due to Delay: Briefly explain the reason (e.g., car payment, hospital bill, groceries). Simply saying "I want a refund" is not enough.
  • Vixens Vault will proactively refund when an order is taking an unreasonable amount of time due to respect your money and your time.

❌ No Returns or Exchanges

Items that have already shipped cannot be returned or exchanged.

✨ Swap Option ✨

  • If your original item is delayed, you may swap your order for another available item.
  • I will provide photos of available pieces to choose from.
  • If the new item is more expensive, you only pay the difference.
  • Shipping: No extra shipping cost if already paid.
  • Swaps are first-come, first-served.

✨ Cancellations ✨

  • Up to 24 hours to cancel unless item is packed or shipped.
  • Ready-to-ship items are packed immediately after payment (cha-ching notification).
  • Ready-to-ship orders ship the next working day.
  • Minor delays (~2 days) may occur for boxes or printer paper.

✨Shipping & Handling✨

  • Processing Time: Ready-to-ship: next working day. Commissions/Custom: in order received.
  • Shipping Methods: USPS only; tracking provided. Domestic $12 USD. International calculated individually.
  • Handling & Packaging: Items are padded and reinforced as needed.
  • Bulk Orders: May ship together or separately; slight extra processing time possible.
  • Shipping Insurance: Included. Contact immediately for lost/damaged packages.
  • Unexpected Delays: Carrier/weather/holidays may delay shipments. Communication provided.
  • International: Buyer responsible for customs/import fees. Tracking when possible.

✨ Order Priority & Queues ✨

  • Ready-to-ship prioritized.
  • Commissions / Made-to-Orders: processed in order received.
  • Markets, personal projects, emergencies may affect timelines.
  • Optional priority handling available for additional fee.

✨ Communication Expectations ✨

  • Contact via email, website, or approved social media DMs.
  • Response time: within 48 hours.
  • Updates will be communicated proactively.

✨ Sharing & Tagging ✨

  • Please tag me in posts or photos of your items.
  • Seeing your gear confirms delivery and brings me joy.
  • Word of mouth is crucial for small businesses like mine.

✨ Behavior & Community Expectations ✨

  • Respectful interaction is required.
  • Harassment, manipulation, or inappropriate behavior is not tolerated.

✨ Disclaimer / Liability ✨

  • Liability is limited for lost, damaged, or delayed shipments beyond insurance.
  • Buyers accept risks for shipping, trade items, and international shipments.

✨ Damage After Delivery ✨

  • Once the item is in your hands, care and upkeep are your responsibility.
  • Normal wear-and-tear, misuse, or accidents are not covered.
  • If repair is possible, I may offer it for an additional fee plus shipping costs.

✨ Promotions, Discounts & Coupons ✨

  • Discounts and codes must be applied at checkout; they cannot be added retroactively.
  • Only one discount code per order unless otherwise stated.
  • Sales, promotions, or codes may end without prior notice.

✨ Gift Policy ✨

  • If purchasing as a gift, please provide correct shipping info.
  • Vixens Vault is not responsible for gifts sent to incorrect addresses provided by the buyer.
  • Gift wrapping/notes may be available upon request (additional fee may apply).

✨ Privacy & Confidentiality ✨

  • Personal information (names, addresses, emails) is kept private and secure.
  • I do not sell or share customer information with third parties.
  • Any harassment, doxxing, or privacy breaches will result in refusal of service.

✨ Event & Market Sales ✨

  • Items purchased at events/markets are final sale.
  • Prices at vending events may differ slightly from online listings.
  • Priority will always go to in-person customers at events.

✨ Trade Policy for Business Owners ✨

  • Trades are strictly professional and must be agreed upon in writing.
  • Rules:
    • Formal agreement required – All trade agreements must be documented in writing (email or signed document) before any exchange occurs. Verbal agreements are not binding.
    • Equal value – Trades must be fair. I reserve the right to decline unbalanced trades.
    • No partial trades – Vague or “maybe later” trades are not accepted.
    • Specific timelines – Both parties must adhere to agreed-upon deadlines. Late shipments may void the agreement.
    • Simultaneous shipping for physical items – Both parties must agree to a designated date and time for shipping. Items are to be shipped simultaneously. No IOUs or delayed send-offs will be accepted.
    • Full disclosure – All items/services traded must be accurately described, including condition, size, brand, or limitations. Misrepresentation is grounds for refusal or cancellation.
    • No substitutions – Items cannot be swapped or replaced without prior written consent from both parties.
    • Liability responsibility – Each party is responsible for the safe delivery of their items. Insurance or tracking is highly recommended.
    • Lost or damaged items – Lost or damaged items are the responsibility of both parties. Each party agrees to either remake, replace, or provide a suitable substitute until the other party is satisfied.
    • Commission work exclusion – Commissioned work is not available for trade. Trades may only be made from items I currently have available.
    • Professional conduct – Harassment, pressure, or unethical behavior of any kind will result in immediate termination of the trade.
    • Non-transferable – Trades cannot be transferred or assigned to another party without mutual consent.
    • Non-refundable / Final – Once a trade is completed, no requests for reversal, return, or compensation will be accepted.
    • Respect & professionalism required – All communication must remain polite and professional. No pressure or harassment.
    • Limited availability – Trades are subject to my availability and discretion.
  • Acceptable Trade Items: Tattoos, specific brand clothing, leather items, chainmail, large fairy wings, renaissance items, nail & hair services.

Please note: These rules are strict because I have, unfortunately, been taken advantage of many times in past trade agreements, even by people I trusted. To protect my time, work, and livelihood, I have implemented these policies. While they may feel firm, they ensure fairness, accountability, and professionalism for all parties involved.
