1. How do you price your custom ears?

I use a base price formula that considers:

My hourly wage × Time to craft the base ear + Base material costs.

Each style and size has a set base price, and any upgrades or custom features are added based on time and materials.

2. What are base prices?

The base price includes a clean pair of ears in a selected style, using my default techniques and materials.

3. How do add-ons affect pricing?

Add-ons like crystals, piercings, chains, spikes, airbrush colors, or painted details are priced per piece or per process, depending on complexity.

Each one adds time and materials to your order, both of which are calculated into the final price.

4. Do you charge for your time?

Yes, I do! My labor is factored into all base prices and upgrades. That means when you request detailed painting, heavy charm work, or large-scale designs, the time I spend handmaking those features is included in your final price.

5. Can I request something not listed?

Definitely! I love sculpting one-of-a-kind pieces, Kitsune styles, mythical hybrids, unique animals, etc. These kinds of orders may include extra labor or design fees depending on how complex your idea is.

6. What kind of decoration options can I add?

Flatback gems (basic or premium)
Spikes/cones in all sizes

Extra paint, UV detail, stenciling, splatters, marbling, and more

7. Can I mix and match multiple upgrades?

Absolutely! Your ears are your canvas, add as much personality as you want. Just know the final price will reflect everything included, both in materials and build time.

8. Do you offer bulk orders or sets?

Yes, if you're ordering multiple pairs or a themed sets, I can quote a bundled price or offer discounts depending on the project. Feel free to message me with your ideas.

9. How long does a custom order take?

Custom orders typically take 2 to 8 months, depending on:

  • The complexity of your design
  • How many orders are already in my queue
  • Whether I have any events, markets, or shows during that period

    Each pair is hand-sculpted, painted, and finished with care, and I always aim to keep you updated on your creations timeline. If you're on a deadline (like for a con or shoot), please let me know upfront so I can do my best to accommodate or offer a rush slot (if available).

10. Do you ship internationally?

Yes! I'm happy to ship worldwide. Shipping fees vary depending on where you’re located and what you’re ordering. Tracking is always provided. You are in charge of your own taxes and shipping fees.

11. Can I send you reference art, a color palette, or mood board?

Yes, absolutely, and I implore you to do so!

The more visual guidance you can provide, the better I can bring your vision to life. Whether it's character art, inspiration images, aesthetic boards, or even just a vibe, I love working with clear concepts. You’re welcome to send color swatches, sketches, mood boards, or photos of the character you’re designing for.

12. Can I make changes after placing an order?

No major changes can be made once your order is placed.

Once I’ve received your order and it’s entered into my queue, all major design choices are considered final, this includes ear styles, colors, materials, and custom features. This helps keep my production timeline on track and ensures fairness to everyone in line.

Minor adjustments (like small charm swaps or clarification on paint details) may be possible early in the process, but they aren’t guaranteed and may incur additional costs or delay your order.

So please make sure everything is just right before you check out, and don’t hesitate to reach out with questions before you order!

13. Do you accept rush orders?

Yes, I do accept rush orders, but there is an additional fee.

If you need your custom piece completed sooner than the standard queue time, I offer limited rush slots depending on my schedule and workload.

Rush fees vary based on how quickly you need the item and how complex the build is. These fees cover the extra time and scheduling adjustments required to prioritize your order.

If you're considering a rush, please message me before placing your order so I can confirm availability and provide an accurate quote.

14. Do you offer payment plans?

Yes, but only through the shop's built-in payment options, such as Afterpay.

If you’re looking to split your payment into installments, I offer payment plan options directly through my website checkout, including Afterpay and other supported services depending on your region.

Please note:

I do not offer manual or custom payment plans outside of these platforms. Be sure to choose your preferred payment method at checkout to take advantage of available installment options.

15. What if my package is lost or damaged?

All ear orders are shipped with $100 of insurance coverage through USPS by default.

If your package is lost or arrives damaged, it is your responsibility to file a claim directly with USPS. I’m happy to provide receipts or documentation to assist with the process, but I do not handle or guarantee USPS claims.

Once your order is shipped, it is out of my hands, I have no control over how the postal service handles your package. Your claim and follow-up will need to be with them.

Need more insurance?

If you’d like to insure your package for more than $100, just let me know before shipping. Additional coverage is available for an added cost.

16. Do you send updates or WIPs (Work In Progress)?

Absolutely! I want you to feel confident and included in the process. Here's how I keep you updated:

  • 🗂️ Trello Queue Access: I maintain a Trello board that shows where your order is in my queue and what stage of production it's currently in. You'll be able to check in any time.
  • 📸 Progress Updates: If you’d like specific updates or WIP (work-in-progress) photos, just ask, I’m always happy to share!
  • 📺 Live Builds on Twitch: I sometimes stream my ear-making process on Twitch. If your ears are being made live, you can watch in real time and even chat with me during the build. This is a great way to catch small mistakes or confirm details as they happen.

17. What is your Return/Cancellation Policy?

🛑 All Sales Are Final

Due to the handcrafted, custom nature of each product, I do not accept returns, cancellations, or exchanges. When you place an order with Vixen’s Vault, you agree that the transaction is non-refundable under any circumstances.

💸 Why No Refunds?

As a sole creator, your payment goes directly toward materials, labor, and operational costs, often immediately after the order is placed. I am not a large company, each piece is individually designed and made just for you. Because of this, I cannot recoup costs once production has begun.

🎨 Handmade Charm = Minor Imperfections

Please note that small variations or imperfections are natural and part of the handmade process. These details make each piece unique and are not considered defects.

⚠️ Refund Exceptions (Rare Cases Only)

Refunds may only be considered in extreme, verifiable situations where the product has a significant flaw that materially affects its intended use. This will be evaluated at my sole discretion. Fraudulent or dishonest claims may result in refusal and legal pursuit.

18. What are the Terms of Service for Vixens Vault?

VIXENS VAULT TERMS OF SERVICE (T.O.S.)
Effective Date: 12/16/2020

By purchasing items from Vixens Vault or engaging with the services provided, you (the "Customer") explicitly agree to abide by and be legally bound by the following Terms of Service (T.O.S.). If you do not agree to these terms, you must refrain from using our website or purchasing our products.

1. Returns & Refunds

No Returns, Refunds, or Exchanges:
Due to the customized, handmade, and personalized nature of the products sold, all sales are final. By purchasing from Vixens Vault, you acknowledge and agree that once an order is placed, the transaction is irrevocable and non-refundable under any circumstances.

The Customer further acknowledges that once the purchase is made, the monetary funds have been expended by the sole proprietor of Vixens Vault and may have already been used to fulfill the order or other operational needs. As such, requesting a refund after a purchase would unjustly disadvantage the individual owner, who operates as a sole designer, not a corporate entity with multiple employees.

Minor Imperfections:
As each item is handcrafted, minor imperfections or unique characteristics may occur, which are part of the design process and enhance the product's individuality. These should not be considered defects, nor should they provide grounds for a return or refund.

Refund Policy:
Refunds will only be considered in extreme circumstances where there is a significant, verifiable defect or failure in the product that materially alters its intended use. Each such case will be reviewed and resolved at Vixens Vault's sole discretion, and legal action may be pursued in the event of an unjustified or fraudulent refund request.

2. Made-to-Order / Commissions

Turnaround Time:
The typical turnaround time for custom orders is 2-8 months, subject to project complexity and the designer's workload. No guarantees on delivery timelines are made, and all timeframes are estimates.
All items, whether ready-to-ship, made-to-order (MTO), or commissions, must be paid in full at the time of purchase. Upon payment, the order will be processed, and you waive any right to cancel or request a refund, as the payment will be utilized for the creation or acquisition of materials.

3. Shipping

Shipping Responsibility:
The Customer acknowledges that they are solely responsible for all shipping costs, including taxes, duties, customs, and any other fees incurred during shipping.
Shipping will occur on Mondays or Tuesdays each week, and ready-to-ship items will be dispatched within 3-8 business days following the order confirmation. The Customer agrees that shipping times are not guaranteed and that no refunds or exchanges will be made based on delays caused by the shipping carrier.

4. Taxes

Taxes:
All applicable sales taxes, VAT, import duties, and other applicable fees will be calculated during checkout via PayPal, Etsy, Venmo, or Ko-Fi based on the Customer’s shipping address. The Customer acknowledges their responsibility to remit such taxes and fees, including for any international shipments.

5. Right to Refuse Service

Vixens Vault reserves the right to refuse service to any individual or entity at its sole discretion. This includes, but is not limited to, situations involving mental or physical health concerns, any form of harassment, disrespect, or violation of these Terms of Service.

Orders may also be canceled and fully refunded at any time, even if no wrongdoing has occurred. In some cases, I may simply choose not to complete an order for personal or creative reasons. If this happens, the customer will receive a full refund, and the order will be respectfully canceled.

Any violation of Vixens Vault’s policies may result in the customer being blacklisted from future purchases.

6. Fraudulent Chargebacks

Chargeback Fraud:
Any attempt to initiate a fraudulent chargeback will be considered an act of theft and will result in legal action. The Customer acknowledges that initiating a chargeback without prior communication with Vixens Vault may result in the recovery of damages and any additional fees incurred as a result of the chargeback. Customers who engage in chargeback fraud will be banned from making future purchases, and their account will be flagged.

7. Safe Space Policy

Inclusivity & Zero Tolerance:
Vixens Vault is committed to creating a safe and inclusive space for all customers. We uphold a zero-tolerance policy for any form of harassment, discrimination, or hate speech. Any individual who violates this policy will be immediately blacklisted from future transactions and may be reported to relevant authorities and other businesses.

8. Blacklisting Offenses

Blacklisting and Permanent Ban:
Any violation of these Terms of Service, including engaging in disrespectful behavior, attempting to resell products at inflated prices, or reselling altered products, will result in the Customer being blacklisted from Vixens Vault. Once blacklisted, the Customer will be permanently banned from making future purchases, and information will be shared with other businesses within the industry to prevent future misconduct.

9. Mutual Respect Rule

Mutual Respect & Professionalism:
By purchasing from Vixens Vault, the Customer agrees to interact with respect and professionalism. Any form of harassment, aggression, or offensive language towards the business or its owner will not be tolerated.
Failure to adhere to this rule may result in the cancellation of an order, forfeiting the item, and blacklisting from future purchases.

10. NMIK / Rated M for Mature

Age Restriction:
All products sold by Vixens Vault are intended for individuals 18 years of age or older. These products may cater to niche communities involving mature or adult themes. By purchasing from Vixens Vault, the Customer confirms they are of legal age and will not hold Vixens Vault responsible for any inappropriate or unforeseen interactions.

11. Reselling Items

Reselling Restrictions:
Customers are prohibited from reselling Vixens Vault products at prices exceeding the original retail price, or from altering items prior to resale. If a product is resold, the Customer is required to tag Vixens Vault and provide proper credit. Unauthorized resale may result in the blacklisting of the individual from future transactions.

12. Trade & Promotional Partnerships

Trade Requests:
Trade requests are reviewed on a case-by-case basis and are not guaranteed. Vixens Vault reserves the right to decline any trade request at its sole discretion.
Promotional Partnerships are available by invitation only, and customers who repeatedly request such partnerships may be blacklisted from future transactions.

19. How Do I Care For or Clean My Faux Fur Ears?

Your handmade ears are delicate, wearable art! With proper care, they can last for many years. Here's how to keep them looking fresh, fluffy, and fabulous:

🧼 General Cleaning Tips

Spot Clean Only: Gently wipe away dirt or makeup using a damp cloth with cold water. You can use a tiny amount of mild soap, but avoid soaking the fur or base.


Never Submerge in Water: These are not washable like plush toys. Submerging can damage the structure, adhesive, and airbrushing.

Avoid Harsh Chemicals: Alcohol, bleach, acetone, or strong cleaners will ruin the fur texture, coloring, and paint detailing.


💨 Maintaining Fluff & Volume

Brush Gently: Use a clean pet slicker brush or wide-tooth comb to carefully detangle fur. Always brush in the direction the fur lays.

De-fluff Occasionally: If there's too much static or shedding, a light mist of water or anti-static spray (like for wigs or synthetic fur) can help.

Restore Fur Shape: If ears get crinkled during storage, gently on Low Heat from a distance and fluff back into shape with your fingers using a Hair dryer.

🔥 Keep Away From Heat & Moisture


No Hairdryers or Heaters: High heat can warp or melt synthetic fur and sculpted elements. (I know what i said above so don't over do it.)

Humidity Can Hurt: Store in a dry, cool space. Avoid bathrooms or damp closets.

🧳 Storage Tips


Store Upright: Keep them on a headband stand or upright in a dust-free display case when not in use.

Protect the Paint: If traveling, wrap them in soft cloth or bubble wrap. Avoid friction against painted or airbrushed areas.

Don’t Crush Them: Never store your ears under heavy items, pressure can permanently dent the structure or dislodge decorations.

Keep Away from Pets & Small Children: Please don’t leave your ears on the floor or within reach of dogs or small children, as they can be damaged or pose a choking hazard.

✨ Special Finishes

If your ears include airbrushing, paint, crystals, or piercings, please handle those areas with extra care. These details are sealed but still more fragile than unpainted fur.

20. Do you offer re-furbishing or repairs?

It depends on the extent of the damage. I can refresh and clean ears to bring them back to looking great, but full refurbishes or major repairs from significant damage are not something I can do. If you’re unsure, feel free to reach out with photos and details, and I’ll let you know what’s possible!

21. Can I wear these ears with wigs, headbands, or cosplay gear?

Yes, absolutely! These ears are designed to be worn comfortably with wigs, headbands, cosplay costumes, and other gear. Feel free to mix and match to create your perfect look!

22. You said you do Trades in you T.O.S how does that work?

❓ How Do Trades Work?
I love trading art with other artists! Here’s how trades work at Vixen’s Vault so everything stays fair and clear.

Firstly I would want or am interested in the item/art you have to trade which is very limited.

Trades are only for specific items we both agree on ahead of time.
I Only offer Ready-to-Ship ears or Simple Made to Orders / Customs as trade.

I don’t accept highly detailed custom designs or big commissions for trades. UNLESS its for a tattoo.

💵 Trades Must Be Equal in Value

Trades need to be equal in value, this keeps it fair for both sides. If the items don’t match in value, the difference must be paid.

Example:
Vixen’s Vault item = $170
Your item = $90
You would need to pay the remaining $80 to make it even.

No trades will be completed until the trade is equal, either by item value or with payment added.

📦 Physical vs. Digital Trades
If your item is digital (like art, designs, or files) and mine is physical (like ears or accessories):

👉 You must pay for shipping of the physical item.

This covers materials, packaging, and postage, since digital items don’t have shipping costs.

⏳ No Deadlines

No deadlines are accepted for trades that are Made to Orders or Commissions.

Paid orders come first. Trade items are made after customer work is done or if i have the free time. Its like a bonus project.

💬 Keep in Touch/Communication


In writing (like a message or email) to avoid confusion. clear, respectful communication throughout the trade. Ide like a check in every 3 to 4 weeks this will allow accountability on the both of us.

Each artist should create a receipt to keep track of the trade. This helps for business records or taxes.

23. What do you look for in art Trades?

24. I'm a parent, can I buy ears for my child?

Yes, absolutely! Parents and guardians are welcome to purchase ears for their kids. Just keep in mind:

Some ear styles may include small parts (like rhinestones or charms), so please check the product description to ensure it’s safe and age-appropriate.
